There are companies missing from the list, what's going on?

By default, the list of companies (and contacts) is filtered by letter of the alphabet.

To see all companies, click on "All" at the top right of the list of companies.

In Big Data Mining Simple CRM, how to search for companies?

Big Data Mining Simple CRM now allows you to search for companies, in addition to contacts.

To search for lists of companies that meet certain criteria, you can :
Either start in simple mode to obtain contacts, then go directly to the list of companies meeting the same criteria.
Either search directly in expert mode

If you wish to start from the contact searches:

Open the application launcher

Click the Big Data Mining tab, then choose a pre-programmed query.

Once on the list of results, click on the button "Expert Mode".

At the top of the criteria, check the "Companies" box, then click "Apply filter" at the bottom.

You will then obtain the list of companies corresponding to your request.


If you want to search directly in expert mode:
Open the application launcher

Click on the Big Data Mining tab, then click on the "Companies" icon.

At the top of the criteria, you see that the box "Companies" is checked.


Enter the other criteria, then click "Apply filter" at the bottom.

You then obtain a list of the companies that match the criteria.

Note: Some criteria are only applicable to contacts (birthday, interests, custom contact fields) and are hidden if the search is for companies.


I do commercial follow-up in an interaction, how to get information about the company or the related contact?

In the interaction form, you can directly open the record of the related company (or contact).

Move the mouse over the icon on the icon next to the name of the related company:



A small window opens with details about the company.

Click on the "Open" button: the company file opens in a new tab.


The same functionality is available on the interaction contact.

How to link a contact and / or a company to a project?

Open the project in Simple CRM.

In the list of companies and contacts related to the project, click in the Company field and type some letters of the company you are looking for.


Once the company code appears in the list, select it.

The Contact field now shows contacts related to this company.

Select the appropriate contact from the list.


Now click on the "Save" button.



You can also link a contact without a company code to the project. To do this, search directly for a contact without choosing a company first.

When I consult a contact or a company, I do not see the interactions finished

By default, only "open" or "ongoing" interactions appear in the list of interactions related to a contact or a company.

This is to lighten the views in your CRM software. Indeed, imagine a card with 10 years of history; it would quickly become heavy and unreadable.

To view all interactions related to a contact or company, click the "View all interactions" button.


How to insert Company or Contact details in a quote or invoice from Simple CRM?

The insertion of Company or Contact details, in a quote or invoice, is made possible from Simple CRM, thanks to the "clipboard" icon.

How do I get a report for a company?

To obtain a report on a single company, in the Analytics module (menu up -> Analytics), you can filter the results for a company.

If you want a report for all companies, grouped by company, do not filter by company, and in the "View" field, select "Pipe by company".

How do I activate deduplication on my Simple CRM account?

To enable contact and company deduplication functionality in Simple CRM :

1) Go to the Admin module (top menu -> Admin)

2) Click on the user name for which to activate the deduplication function

3) Check the box "Deduplication" and click on the button "Save".

How do I save the data in Simple CRM on my computer?

It all depends on what you mean by saving.

You can synchronize your calendar with a local client, such as Outlook, Thunderbird or Sunbird, via the ICAL feed. This is already a first copy allowed by Simple CRM.

Via our CONTACT - GMAIL synchro, you can also synchronize your contacts with Outlook via the tools: https://tools.google.com/dlpage/gappssync.

Please note that this software only works with Google APPS. For classic GMAIL accounts, please use freeware: http://googlesyncmod.sourceforge.net.

Same for Thunderbird: https://addons.mozilla.org/fr/thunderbird/addon/google-contacts/

You can more simply, export a contact from its card, by clicking on the button "VCard - Export this contact in Outlook / Thunderbird".


If by saving, you mean copying the content present in Simple CRM, to read it from Microsoft Excel, Open Office or Libre Office, this is also possible.

You can indeed, at any time, recover the data via the export modules. Note that Simple CRM only allows this function to the CRM administrator.

Contacts and Companies: from the Administration area, button "Export contacts and companies in CSV format".

Interactions: from Interaction, button "Export Interactions".

How do I get a map of my interactions?

You wish to obtain a geographical map of your interactions, for example to visualize the various customer visits that you must make (commercial tour).

For that:
  • create a new project (or open an existing project)
  • assign the desired interactions to this project
  • at the top of the project interaction list, click on "Google Maps" button
  • wait a few seconds, the map corresponding to the project interactions will be displayed

How do I enter or change a contact's business contact information?

A contact's business contact information is the telephone or email information of a contact within a company.

  • To enter or change a contact's business contact information:
  • open the contact card
  • in the table "companies related to this contact", enter the company related to the contact, and the professional details of this contact in the company (if no line appears, click on the button "Add a link to a company")



click on the "Save" button

How to modify the list of professional functions?

Since version 6.7 of Simple CRM, you have a list of predefined professional functions.

These lists appear as soon as you enter a few letters:
in the "Function" field in a contact's business details

in the "Function" field in a company's contact list

in the "Function" field when you enter the business details of a contact just after its creation


You can edit items in this list using custom lists in CRM Admin:

1) Go to the CRM Admin (top menu -> CRM Admin)

2) Click on the tab "7. List management"

3) On the line "Professional functions", click on the button "Elements of the list".

4) You can add, modify or delete items from the list.


How to find companies that have no related contact?

In order to carry out effective prospecting, it is preferable to contact individuals rather than companies.

Indeed, marketing studies show that a letter addressed to "Jean-Marie Martin, Etablissements Lajoie" is much more likely to be opened than the same letter addressed to the "Purchasing Manager, Etablissements Lajoie".

However, in many companies, prospecting lists often only mention the name of the company to prospect.
You must then identify, in your Simple CRM, these companies without related contact, in order to contact these companies to obtain for example the name of the purchasing manager.

For that:
Open the application launcher.

Click on the "Big Data Mining" tab, then click on the "Soc without Cont" icon.

You immediately get the list of contactless companies.



You can export CSV interactions to Excel or Open/Libre Office, create a prospecting campaign, or add selected companies to an existing project.

You can then refine your search if necessary by clicking on the "Expert Mode" button.



You can then combine the search for contactless companies with other parameters.



How to use automatic duplicate detection in Simple CRM?

Searching for duplicates in Simple CRM can be done manually (see this page).

Simple CRM can also search automatically:
duplicates of contacts on the basis of surname and first name
duplicates of companies, either on the basis of the name, or on the whole name + postal code

Configuring the Duplicate Search

The company duplicate search is configured in the CRM Admin (top menu -> CRM Admin -> tab "13. Settings".

If you want company duplicates to be searched on the company name, in the "Deduplication of companies" field, choose "Deduplication on company name".

If you want company duplicates to be searched on the company name + postal code, in the "Deduplication of companies" field, choose "Deduplication on company name and postal code".

Then click on the "Save" button.
List and merge potential duplicates

Duplicate searches are performed once a day. Duplicates created during the day will therefore be detected the next day.

To access the list of potential duplicates, open the application launcher, click on the "Tools" tab, then click on the "Contact duplicates" or "Company duplicates" icon.

The list of potential duplicates appears.

Each line in the list represents a pair of potential duplicates detected by Simple CRM.
If it is not a duplicate (case of homonymous persons, or two different companies with the same name), tick the "Ignore" box on the line concerned, then click on the "Save" button at the bottom of the list.

If it is really a duplicate, click on the "Duplicate" button on the line concerned.

The next screen shows the pair of side-by-side duplicates. For each field, you can choose if you keep the data of the first duplicate, or the second, by checking the box of the data to keep.

Once you have checked the data to be kept on either side, click the "Merge contacts" button (or "Merge companies" as appropriate).

The elements are then merged, you then arrive on the duplicated element.


Why doesn't Simple CRM merge duplicates automatically?

Simple CRM can offer you lists of potential duplicates, but the decision to merge duplicates is only possible by a human person.

Indeed, two contacts with the same name can be two different people. Simple CRM cannot know if these two people are the same.

It is the same for corporations. Two companies may have the same name (or sign) and be two different companies.

On the other hand, for each detected duplicate, if for example 2 different postal addresses are present, no software will be able to decide which address is correct.
This is why you have to merge the duplicates one by one, by checking what you want to keep on one element and on the other.

Favourite companies and contacts

Starting from Simple CRM 6.8, when you click on the icons, COMPANY or CONTACT from the HIGH MENU, you will no longer find the list of companies starting with the letter A or the list of contacts starting with the letter A, but on the list of favourite COMPANIES/CONTACTS.

To favor a company or contact in your Simple CRM, simply click on the FAVORITE icon:


To delete the favorite, simply click again:

The contact list then defaults to the favorites.

To view all contacts, click All. To display the favourites again, click on the star.

The list of companies works the same way.

How to hide a contact's add rows in a company?

By default, a company's contact list and a contact's company list have a blank line to link a new element directly.

To automatically hide the line adding a contact in a company, go to the CRM Admin (top menu -> CRM Admin), then click on the tab "13. Settings".

Uncheck the "Automatically display an add line" box, then click the Save button.

A company's contact list and a contact's company list no longer display a blank line.
To display a blank line, click on the button "Add a link to a contact".

A blank line appears.

The company identifier is neither SIRET, NI VAT, nor CIK, how to do?

Depending on the country, the unique company identifier is neither the SIRET, nor the VAT number, nor the CIK code.

Simple CRM allows you to rename the field "Num CIK" according to your needs.

For that:
go to the CRM Admin (top menu -> CRM Admin)
click on the "Settings" tab
in the "National Company ID Label" field, enter the name of the company ID


Click Save.

The field named "Num CIK (US)" is renamed according to your input (in our example: "Num BIF").


What should I encode first: the contact or the company?

It's as simple as it sounds to you; our software allows you to use the workflow that suits you best.

However, if you need to link several contacts to a company, we advise you to first create the company and then create contacts on the fly.

Indeed, Simple CRM allows you to enter several contacts one after the other; this saves time, thanks to the button "REGISTER AND CREATE ANOTHER CONTACT LINK TO THE COMPANY".



How to limit a user's access to certain contacts, companies, interactions and projects, and leave full access to other users?

You want to limit a user's access to certain contacts, companies, interactions and projects that directly concern them. On the other hand, other users must be able to access all contacts, companies,...

Examples of use: prospecting by geographical sectors, trainees, external speakers...
 
To do this, you must create one project per user with limited rights.
A project user is a user who sees nothing, except what he is allowed to see through projects to which he is invited to work.

Proceed as follows:

1) In the Admin module, change the user type for each user whose rights you want to limit (change them to "Project User").



2) Create one non-public project per user
Name the project, for example: "Southeast Prospecting"
Uncheck the "Public Project" box
Save the project.




3) Link this project to the user concerned
In the project user list, select the relevant user.
Click Save.



4) In the project, link the contacts that are concerned by the user to the limited rights.



5) Last step: Assign a default project to the user following the explanations on this article.


That way:

each "Project User" will only have access to the contacts, companies and interactions that concern him, and only those ones

other related users will have access to relevant contacts, companies and interactions

administrators will have access to all information, no matter what happens.

Practical example

Pierre is a sales representative who manages a portfolio of 200 clients in his "Southeast" geographic area, whom he must contact regularly.

Here is the procedure to limit Pierre's access to these 200 clients:

1) In the Admin module, the Simple CRM administrator changes Pierre's user type. From "User", Pierre becomes "Project User".

2) In the Project module, the Simple CRM administrator creates a non-public project called "Southeast Prospecting". He adds Pierre to the users of this project.

3) The Simple CRM administrator selects and adds Pierre's clients to the project, either one by one, or directly from an area of interest, through a prospecting campaign.

4) Done. Pierre does not see any clients except those assigned to him through the "Prospection Sud-Est" project.


5) Last step: assign a default project to Pierre following the explanations on this article.



Assignment of customers to another sales representative

Now suppose Pierre leaves the company. It is Paul who takes over Pierre's client portfolio.

Here's how to assign all of Peter's clients to Paul:

1) Open the "Southeast Prospecting" project

2) Remove Peter's access to this folder

3) Add user Paul to this folder

4) It's done! In 4 clicks, you assigned Peter's clients to Paul.

How many contacts and companies can be assigned to a project?

Project users have limited access rights to the information contained in Simple CRM. Contacts, companies, authorized interactions must be contained in a project linked to the project user. See the FAQ on this subject: How to limit a user's access to certain contacts, companies, and interactions, and leave full access to other users?

After for example a data import (see How to use CSV format related contacts and companies import?), if you want to assign newly imported contacts and companies to a user-project, follow the procedure below.

1) Go to the Query module (top menu -> Query)

2) Click on the center of interest corresponding to the import (for example: "Import 2015-08-05 15:22:45").
Click on "Search".

3) You get the list of imported contacts and companies.
Click on the button "Add to a project".

4) A form appears, allowing you to choose the project with which to associate the contacts and research companies.
Choose the project and click the "Add to Project" button.

The contacts and companies are now linked to the project you have specified.

Project users' rights take into account imported elements.
